AI & Automation Notice
This document explains the rules, responsibilities, and protections that apply when you use QEMRA.
1. What QEMRA automates
QEMRA can use rules and AI to understand incoming requests, draft/send replies, classify intent, summarize conversations, build workflow drafts, route customers, create booking flows, suggest follow-ups and assist business staff.
2. AI provider
QEMRA initially uses OpenAI for selected AI-enabled features.
Only the information reasonably necessary for an enabled feature should be sent to an AI provider.
QEMRA does not use customer WhatsApp conversations or message content to train QEMRA’s own AI models by default.
3. Transparency
Businesses using QEMRA should clearly disclose automated or AI-assisted interaction at the start of the conversation or when materially relevant.
Where human support exists, end customers should have a clear path to request a person.
4. AI reply modes
QEMRA supports:
- Review first — AI drafts a reply and staff approve it;
- Auto-send — eligible AI replies may be sent automatically, subject to safeguards;
- Human only — AI does not send customer replies.
New accounts default to Review first.
5. Confidence and safety
QEMRA may use dynamic confidence and safety thresholds.
Routine FAQs may permit more automation. Payments, healthcare, complaints, legal issues and other sensitive topics use stricter handling.
Low-confidence outputs are not sent directly where QEMRA’s safety rules require a fallback or human review.
6. Sensitive actions
AI text alone is not sufficient authority for sensitive actions.
Payment links, booking cancellation/changes, refund-related actions, complaint escalation and similar actions require explicit business rules and/or human confirmation.
7. High-impact decisions
QEMRA must not be used as the sole decision-maker for medical diagnosis, emergency response, legal advice, lending/credit, insurance eligibility, employment decisions or other comparable high-impact decisions without appropriate human oversight.
8. Workflow publishing
AI may create or propose workflow changes. Significant workflow changes are saved as drafts and must be reviewed/tested and explicitly published by the business.
9. Accuracy
AI output may be incorrect, incomplete, outdated or unsuitable. Businesses are responsible for reviewing information where accuracy matters and for ensuring customer-facing claims, prices, policies and professional advice are correct.
10. Auditability
QEMRA keeps an audit trail of important automated decisions and actions so the business can review what happened, when and the relevant reason/context.
Default retention for these audit records: 1 year.
11. Human fallback
If AI is unavailable or uncertain, QEMRA is designed to use rule-based behavior, a safe fallback and/or human handoff rather than silently failing or exposing technical errors to the end customer.
